Why do companies outsource?

Today, outsourcing basically refers to delegating an internal business function to an outside provider. This outsourcing can extend to offshore if the service matches demand.

Most entrepreneurs start up their business and do most of the work themselves, taking on the responsibility for marketing, sales, HR, technology, and other components of the business. As the business grows and they decide they can’t handle all the tasks, they hire someone to do the non-core work.

  • IT is relatively easy to outsource, especially with the cloud service and you have confidence in the provider.
  • Network Operations Centre (NOC monitoring and action) is even easier. Little direct involvement, it is a system.
  • A virtual assistant requires direct interaction with clients and therefore a greater level of trust and business knowledge is required.

So why do business outsource, or use offshore?

I have seen that most business outsource tasks and offshore out of necessity, rather than desire. It all depends on what the company does and its long term needs.

For example, if a company has an IT department build in, why would it go after it outsourcing? Before deciding to outsource, it is important to define what specific goals are to be met.

Let’s look at the business expense associated with IT in the business. These can be broken down into 3 areas;

  • Capital Costs
  • Operating Costs
  • Financial Costs

 

Capital Cost
A capital cost requires you to pay up front for the hardware and software that you will use for three years. When the warranty finishes you will change the server for a new one. This capital expense constantly drains your cash reserves with the three or four year replacements.
 

Operational
Once a business has installed a server it must make sure that it is properly maintained. This either requires the business owner or other employee to spend time monitoring the server’s status and carry out maintenance.
 

Financial
This is similar to a loan allowing you to purchase now, with interest payable to the finance or leasing company. Leasing hardware removes the initial cash outlay, converting costs to an operation expense each year. If you do not have the cash available now, financing allows an immediate solution with payments over 3 – 5 years.

Cloud services saves huge amount of costs because it removes the need for a small business to own a server. Paying only for the cost that is required lessens the strain on cash flow and puts IT in sync with how a business is performing.

Companies whose using cloud model IT will be able to easily and cheaply scale up their IT without the need for expensive new infrastructure.It is called ‘pay as you grow’ – meaning you just pay for the service you require and when you require it and can be free to develop without stressing about any expensive up scaling costs.

Business Challenge

The server hardware was reaching end of life and there was a need to migrate the current infrastructure considering unstable backups and security.

Solution

The physical servers were migrated to virtual environment on a new set of hardware. Old aging hardware were made redundant and the VMware solution hosting 4 virtual servers was sustaining the business critical application. Backup solution was also upgraded and now provides stable backups that restores. A hardware firewall appliance was also implemented in a DMZ with ISA server providing security and caching for users to experience faster internet.

Business Challenge

The existing server hardware was malfunctioning. Remote users including contractors who use Citrix, VPN were frequently getting disconnected from the site. The server hardware was reaching its end of life and was contributing to issues that did not have permanent solution.

Solution

The server hardware was migrated to a new set of hardware. The operating system and the Proxy platform were retained thus providing stable accessibility to the remote users. Since the server hardware was out of warranty, it wild not have been a good idea to change he components as in future other componenxt would have failed on the same piece of hardware as well.
